Cancellation Policy

1. General Cancellation Terms
Sawera Traders understands that circumstances may require cancellation of storage services. This policy outlines the terms and conditions for cancelling storage agreements and retrieving stored items.
2. Booking Cancellation
2.1 Before Service Commencement
- More than 48 hours before scheduled service: Full refund of advance payment
- 24-48 hours before scheduled service: 50% refund of advance payment
- Less than 24 hours before scheduled service: 25% refund of advance payment
- No-show or same-day cancellation: No refund of advance payment
2.2 Emergency Cancellations
In case of genuine emergencies (medical, natural disasters, or other unforeseen circumstances), cancellation fees may be waived at the discretion of management. Proper documentation may be required.
3. Storage Contract Termination
3.1 Early Termination by Client
- Monthly Storage: 7 days written notice required
- Quarterly Storage: 15 days written notice required
- Annual Storage: 30 days written notice required
- Long-term Contracts (2+ years): 60 days written notice required
3.2 Refund Policy for Early Termination
- Monthly plans: No refund for current month, future months refunded
- Quarterly plans: Unused months refunded minus 10% processing fee
- Annual plans: Unused months refunded minus 15% processing fee
- Long-term contracts: Refund calculated based on usage and contract terms
4. Item Retrieval Process
4.1 Standard Retrieval
- Minimum 24 hours advance notice required
- All outstanding dues must be cleared
- Valid identification and authorization documents required
- Inspection of items before removal
4.2 Emergency Retrieval
- Available subject to staff availability
- Additional charges may apply for emergency retrieval
- Emergency retrieval fee: ₹500 for same-day service
5. Cancellation Fees
5.1 Administrative Fees
- Contract processing fee: ₹200 (non-refundable)
- Early termination fee: ₹500 (if terminated before minimum period)
- Document preparation fee: ₹150
5.2 Storage-Specific Fees
- Vehicle Storage: Cleaning and maintenance charges if applicable
- Chemical Storage: Disposal fees if items are abandoned
- Furniture Storage: Handling charges for large items
6. Cancellation by Sawera Traders
6.1 Grounds for Cancellation
We reserve the right to cancel storage agreements in the following cases:
- Non-payment of storage fees for more than 30 days
- Violation of storage terms and conditions
- Storage of prohibited or undeclared hazardous materials
- Facility damage or safety violations by client
- Legal or regulatory requirements
6.2 Notice Period
- Non-payment: 30 days written notice
- Safety violations: 7 days written notice
- Illegal activities: Immediate termination
7. Abandoned Items Policy
7.1 Definition of Abandonment
Items are considered abandoned if:
- Storage fees remain unpaid for more than 60 days
- No contact from client for more than 90 days
- Contract expires without renewal or retrieval
7.2 Abandoned Items Procedure
- Written notice sent to last known address
- 30-day grace period for response
- Items may be disposed of or auctioned after notice period
- Proceeds used to cover outstanding fees and disposal costs
8. Special Circumstances
8.1 Seasonal Storage
- Seasonal contracts have specific start and end dates
- Early retrieval allowed with 7 days notice
- No refund for unused portion of seasonal storage
8.2 Business Closure
- In case of business closure, 60 days advance notice will be provided
- Full refund of unused storage fees
- Assistance in finding alternative storage solutions
9. Dispute Resolution
9.1 Grievance Process
- Written complaint to management
- Response within 7 working days
- Resolution meeting if required
- Escalation to senior management if unresolved
9.2 Legal Recourse
Any disputes arising from cancellation shall be resolved through:
- Mediation as first option
- Arbitration if mediation fails
- Courts of Dumka, Jharkhand as final recourse
10. Refund Processing
10.1 Refund Timeline
- Cash payments: 7-10 working days
- Bank transfers: 5-7 working days
- Cheque payments: 10-15 working days
- Digital payments: 3-5 working days
10.2 Required Documentation
- Original receipt of payment
- Signed cancellation request form
- Valid identification
- Bank account details for refund

Note: All cancellation requests must be submitted in writing (email or physical letter) to be considered valid. Verbal cancellations will not be accepted.
